Reduce Operational Dependencies to Enable Scalable Training Management with Marketo and Make.com
Challenge
As Rockwool’s Training Academy grew, a persistent operational challenge became harder to ignore. Trainers needed timely, accurate information about upcoming sessions and participants, but they did not have direct access to the event management system. Instead, they relied on project owners and support staff to manually pull, compile, and share event and registration data. This created a predictable set of constraints. The process took time, introduced delays, and increased the administrative load on a small group of people. Over time, operational knowledge concentrated in a few team members, which made the process fragile, harder to onboard into, and difficult to scale. The lack of direct visibility, combined with manual communication, created bottlenecks, reduced transparency, and increased continuity risk. As the Training Academy expanded its programs, the inefficiencies compounded and highlighted the need for a more resilient and scalable approach to managing training information and knowledge sharing.
Solution
Rockwool addressed these challenges by implementing automated trainer notification workflows using Make.com and Marketo. Rather than granting trainers direct access to Marketo, which would have required additional licenses, training, and governance, the solution focused on delivering the right information to the right people at the right time. Automated workflows now generate and distribute weekly summary emails to trainers, consolidating the key details for upcoming training sessions and participant lists. This removes the need for manual data compilation and reduces dependency on project owners for routine information sharing. In parallel, Rockwool updated process documentation and work instructions. The updated documentation reflects the new automated workflows and makes operational knowledge easier to access, transfer, and maintain across teams. This dual approach, automation plus documentation, creates a sustainable operating model that reduces manual effort, increases transparency, and supports future growth. The solution was chosen because it addressed the root cause: a visibility problem, not an access problem. It is also repeatable and can be adapted to other scenarios where operational users need timely information from systems they do not directly access.
Impact
The solution delivered clear improvements in operational productivity and scalability. Trainers now receive automated weekly overviews of upcoming events and participant details, which removes the need for manual follow-ups and reduces reliance on project owners. Trainer notifications are now fully automated, and the administrative workload has been reduced, saving up to one hour per week. Updated process documentation improves operational resilience by reducing knowledge concentration and making procedures easier to maintain and scale. Together, these changes have created a more transparent, efficient, and sustainable operating model for Rockwool’s Training Academy that supports current needs and future growth.
